Managing groups using sports grounds without a booking

A constant challenge that our sports clubs face is when community groups or other clubs utilise a sports ground during your allocated hours. We acknowledge that this is an ongoing issue and a universal challenge across all Councils. Unfortunately, this situation cannot be completely prevented or policed by Council. However, there are certain steps to consider if you find a group on a sports ground during your allocated hours.

Firstly, we suggest calmly approaching the group and advising them that you have been allocated the grounds by Council. We recommend having your Seasonal Tenancy Confirmation Letters printed off and easily accessible and to present this to the group to highlight your allocation.

At this point, the group should respect the allocation and kindly vacate the sports grounds. Should the group not acknowledge the allocation, then proceed to escalate the situation, or become hostile, we do not recommend engaging further with the group. At this stage, we suggest contacting the police and explaining the situation to them.

For the most part, we hope our community members respect Council’s allocation. However, we are aware of instances where groups have been inconsiderate, leading to heated confrontations.

Should your club encounter a situation such as this, please ensure it is communicated to Council so we can document the incident.
